How XenialQuote works — end to end

One place to request insurance quotes, compare them side by side, share the comparison with your client, and follow the lead to a decision. This guide covers the everyday workflow and what each role — Agent, User and Super User — can do.

Signing in — no password

Enter your email on the sign-in page. We email you a 6-digit code; type it in and you're in. There are no passwords to remember or reset. What you see after signing in depends on your role, which an administrator sets for you.

The core workflow

Every quote follows the same five stages, whoever you are:

Request

Submit a quote request (Motor, Travel, Home or Health). It's emailed to the quotation desk.

Quotes arrive

Insurers reply by email. Xenial pulls the mail and reads each quote automatically.

Compare

Open Compare v2, pick the client's quotes, review them side by side, add your comments.

Share

Create a client link and send it by email or WhatsApp. The client picks an insurer.

Follow up

The Insights board is your lead desk — assign a handler, log calls, mark Won or Lost.

Your role, step by step

Pick your role to see exactly what you do and what's on your menu.

You are an external agent. You bring your own clients, request quotes for them, and everything you see is scoped to your own clients only. You land on Insights when you sign in.

  1. Request a quote for your client

    Request Quote → Motor / Travel / Home / Health. Fill the form (vehicle/trip/etc. + the client's name, email and mobile). Submitting emails it to the quotation desk and records it under your name.

  2. Wait for the quotes to come in

    Insurers reply and Xenial ingests each quote automatically. Your new quotes appear on Insights and Compare v2 — scoped to you.

  3. Compare

    Open Compare v2, select your client's quotes, and review them side by side — premium, cover, excess, towing, replacement car, and the recommended option. (Broker's Comments are shown to you but only staff can edit them.)

  4. Share with your client

    Create the client link and send it by email or WhatsApp. The client opens a clean page, sees the comparison, and can pick an insurer. Their email/mobile from the request are pre-filled for you.

  5. Follow the lead

    On the Insights board the comparison becomes a lead — and because it's your client, you are automatically the handler. Log your calls/messages and mark it Won or Lost.

  • ✗ You only ever see your own clients, quotes, customers and leads.
  • ✗ No Settings or Admin; you can't assign a lead to someone else (you own yours automatically).

You are internal staff. You do the same day-to-day work as an agent, but across all clients — not just your own — and you can fully work the lead desk.

  1. Request quotes (any client)

    Request Quote for any customer, or handle requests that agents and the public submit. See them all under Requests and Customers.

  2. Compare

    Compare v2 — pick any customer's quotes, review side by side, and write the Broker's Comments that the client will see (agents can't edit these; you can).

  3. Set the conditions

    On the comparison, flag Approved Repairer and Survey Report Required where they apply — these carry through to the client's page.

  4. Share & recommend

    Send the comparison by email or WhatsApp. Xenial highlights the cheapest and a recommended option; the client selects an insurer on their page.

  5. Own and close the lead

    On the Insights board, Take a lead, log each communication with the step wizard (date, notes, outcome, callback), and mark it Won or Lost. Sending a comparison also makes you the handler automatically if no one owns it yet.

  • ✗ No Settings or Admin (mailboxes, users, AI, cleanup are for Super Users / Admins).

You are a super user. Everything a User can do, plus configuration and team management — you keep the quote pipeline running and assign work.

  1. Everything a User does

    Request, compare, comment, share and work leads across all clients.

  2. Keep quotes flowing — Settings ▸ Mail Sync & Mailboxes

    Control how insurer emails are pulled: turn Automatic pulling on and set the frequency, choose per-mailbox fetch mode (only-new vs from-a-date), the back-fill since date, and mark-as-read. Enable/disable each mailbox's scan. You can also Pull now on demand and watch the last/next run times.

  3. Configure the platform — Settings

    Outgoing email (SMTP), WhatsApp, the AI provider that reads the quotes, recommendation rules, products and branding.

  4. Set up insurers — Settings ▸ Insurers

    A matrix of every insurer you work with. Each row has: Enabled — show the insurer to guests and advertise it in the mobile app; Show logo — advertise the insurer's logo (turn this off when a logo is on file but the MOU with the insurer doesn't permit displaying it — the logo stays uploaded but the app won't show it); a column per product type (Motor / Health / Travel / Home) for what that insurer actually covers; and the logo upload. A guest only sees insurers that are Enabled and ticked for the product they're requesting — everything else is invisible. These same flags drive the insurer list on the staff request forms.

  5. Manage the team — Admin ▸ Users

    Add people and set their role (Agent / User / Super User). (Admin-role accounts are managed by an Administrator only.)

  6. Assign the work

    On any lead you can assign a handler — yourself or any User/Super User — not just take it. Agent-owned leads stay with their agent automatically.

  • ✓ Settings, user management, and assign leads to anyone.
  • ✗ Reserved for Administrators: Login Audit, AI Cost, Menu control and Data Cleanup.

Good to know

Insights = your lead desk
The status board shows every comparison and how far it's got — Shared → Sent → Opened → Selected — plus its handler and status. Filter by stage, handler or search; open one to comment, toggle, share or log a call.
Compare v2
The client-facing comparison layout accepted by the insurers — grouped covers, premium & excess, broker's comments, and the recommended option.
Shared vs Sent
Shared = a client link was created. Sent = that link was actually delivered by email or WhatsApp. A link can exist without being sent yet.
Customers
A master list of everyone you've requested quotes for — name, email, phone, address — with click-to-email and WhatsApp. Agents see only their own.
TV wallboard
A read-only office-screen view of the board (staff) that refreshes on its own.

Learning notes — real cases

A quote with several premium options (e.g. Swan)

Some insurers don't quote one premium — they quote a table of premiums, one per voluntary / own-damage excess level. For example:

  • Excess Rs 50,000 → premium Rs 80,615
  • Excess Rs 65,000 → premium Rs 77,504
  • Excess Rs 85,000 → premium Rs 73,952

Because there is no single premium, older extractions left the premium blank and sent the quote to the Review Queue (a premium is never guessed).

How it works now: the system automatically takes the lowest-excess option as the premium (the baseline for a fair comparison) and keeps the other options on record. If a premium is ever still blank, the quote goes to the Review Queue so a User/Super User can set it in one click. A premium is never shown as empty on a comparison sent to a client.

Times are shown in Mauritius time (MUT). New quotes appear on Insights automatically after a pull — no need to refresh the page.
